Service Approval

Purpose:

A Service Approval is entered as a result of a contract or verbal agreement between a provider and DHHS. A Service Approval is required to authorize service provisions and subsequent payment.

Service Approval Required Parts

A Service Approval must have the following components:

Owner: is the organization responsible for the Service Approval. They receive the income. The income is reported to the IRS and is attributed to the owner’s Tax ID.

Payee:  Accepts the payment on behalf of the owner.

Provider:  Provides the service(s) under the terms of the Service Approval.

Each Provider Detail may or may not have the following optional components:

Rates: The rate is the cost per frequency ($/frequency).

Approval Items: Approval Items are additional details that describe how an Organization provides a particular service. Examples include extended hours, accessibility for persons with physical disabilities, or special skills.

Key Points

  • Search for an existing Service Approvals before adding a new one. This prevents duplicated data.
  • When entering a new Service Approval, begin in the Detail Organization window of the Organization that will serve as the Owner of the Service Approval.
  • Preferred practice is to assign all Service Approvals to a worker position. The system will enforce this requirement if the Service Approval type is a 'Contract'.
  • The Begin Date of a Provider Detail and Provider Rate must be on or after the Begin Date of the Service Approval.
  • Renew a Service Approval before it expires. An expired Service Approval causes all Detail Providers, Provider Rates and Service Authorizations tied to those Detail Providers to close.
  • To "reopen" a Service Approval that has already expired - renew the Service Approval, create a new Service Approval Assignment, reopen any Provider Details and create Provider Rates as appropriate.
  • An individual Detail Provider may be closed without closing the entire Service Approval. Closing a Provider Detail will cause any Service Authorizations tied to it to close.
